We're growing rapidly and are seeking a highly organized, detail-oriented Client Support Specialist to help deliver an exceptional experience for the clients we serve.

Why This Role is Special

As a Client Support Specialist, you will serve as a primary point of contact for our clients and play a critical role in ensuring a seamless experience throughout their journey with BetterBrain.

As an early member of our Operations team, you'll have the opportunity to make a meaningful impact on both our clients' lives and the systems that support BetterBrain's continued growth.

This is more than a traditional customer support role. We are looking for someone who can independently resolve client issues, exercise sound judgment, navigate multiple systems, and deliver an exceptional client experience in a fast-paced healthcare environment.

You'll work closely with Operations, Clinical, and Revenue Cycle teams to resolve client inquiries, support insurance and billing workflows, and ensure accurate, timely communication with clients.

Successful candidates often come from healthcare administration, patient services, insurance verification, medical billing support, or healthcare customer service backgrounds. They are highly organized, detail-oriented, comfortable working independently, and motivated by helping clients navigate healthcare-related processes.

What You'll Do

  • Serve as a primary point of contact for clients, providing exceptional support across appointment scheduling, billing inquiries, insurance updates, eligibility verification, lab-related requests, account maintenance, and general program questions.
  • Investigate and resolve client issues by navigating multiple systems, coordinating across teams, and ensuring timely, accurate follow-up.
  • Manage insurance-related workflows, including eligibility reviews, obtaining missing information, communicating coverage outcomes, and helping clients understand next steps.
  • Maintain accurate client records and ensure information is updated consistently across systems.
  • Escalate complex clinical, billing, or operational issues when appropriate while providing complete context for efficient resolution.
  • Help build scalable operations by identifying patterns, improving workflows, and driving continuous improvement.

Preferred Qualifications

  • 2+ years of experience in a medical office, healthcare administration, patient services, patient access, insurance verification, medical billing support, or healthcare customer service role.
  • Experience verifying insurance eligibility and benefits.
  • Experience working within EHR, practice management, scheduling, or healthcare billing systems.
  • Experience working in a high-growth startup environment.
  • Experience improving workflows or operational processes.
